ABOUT BESPOKE SOFTWARE
What is bespoke software?
Bespoke software is custom-built software designed specifically around your business workflows, processes, and operational requirements. Unlike off-the-shelf software, which forces your team to adapt to a generic system, bespoke software adapts to how your business already works, giving you only the features you need, with none of the compromise.
What is the difference between bespoke software and off-the-shelf software?
The key differences between bespoke software and off-the-shelf software include:
- Off-the-shelf software: pre-built for general use, fixed features, general workflows, lower upfront cost
- Bespoke software: built to your exact processes, no redundant functions, evolves with your business
- Flight by Blue Wren: delivers bespoke software at a fraction of traditional custom-build cost
Is bespoke software suitable for small and medium-sized businesses?
Yes. Bespoke software for SMEs is increasingly cost-effective for UK businesses that have outgrown spreadsheets, email chains, or rigid off-the-shelf systems. Blue Wren’s Flight platform makes bespoke software affordable and accessible for growing businesses, delivering a working system in weeks using a phased approach, at a fraction of traditional custom-build cost.
How much does bespoke software cost in the UK?
The cost of bespoke software in the UK varies depending on complexity, scope, integrations and scalability requirements, and can range from tens of thousands to six figures. Blue Wren’s Flight platform is more cost-effective than a ground-up build
- One-off configuration fee
- Monthly licence
- Included: hosting, support, and all ongoing configuration changes
- No additional cost for updates, new workflows, or adjustments after launch
How long does it take to develop bespoke software?
Bespoke software built on Blue Wren’s Flight platform can be ready in as little as a few weeks. Typical timelines:
- Simple configurations: 2–4 weeks to a working test version
- Mid-complexity systems: 4–8 weeks to launch
- Full iterative build: 2–3 development cycles before go-live
What normally takes months of development takes days with Flight
ABOUT FLIGHT
What is the Flight platform?
Flight is an award-winning bespoke software platform developed by Blue Wren, based in Preston, UK. It bridges the gap between generic off-the-shelf applications and expensive traditional custom builds, enabling UK businesses to automate workflows, manage operations, and scale without the typical cost and risk of ground-up development. Flight can be configured for CRM, workflow management, project management, training management, and more.
How is Flight different from traditional bespoke software development?
Traditional bespoke software development builds everything from scratch. Higher cost, longer timelines, more risk. Flight is different:
- Uses a proven platform foundation, faster configuration, less uncertainty
- What takes months with traditional development takes days with Flight
- Delivers genuine customisation without the six-figure price tag
- No developer resource required on your side at any stage
Can Flight replace spreadsheets and manual processes?
Yes. Replacing spreadsheets, email chains, and manual tracking systems is the most common reason UK businesses come to Blue Wren. Flight digitises and automates your workflows into a single, central, secure platform, eliminating duplicate data entry, reducing errors, and giving every team member real-time visibility across the business.
Can Flight integrate with our existing systems?
Yes. Flight integrates seamlessly with existing technology stacks (including Xero, QuickBooks, CRM platforms, and ERP systems) via a fully documented RESTful API. Rather than replacing your existing tools, Flight acts as a central hub, connecting your systems and eliminating the gaps and duplicate data entry between them.
SECURITY & COMPLIANCE
Is bespoke software secure?
Yes. Bespoke software is highly secure (more so than mass-market software) because it is not widely distributed and is not a known target for automated attacks. Blue Wren builds Flight with role-based access controls, encrypted data transmission, AWS cloud hosting, and regular security maintenance built in from day one. Every Flight customer also receives a DPIA as standard.
Is Flight GDPR compliant?
Yes. Flight is built to comply with UK GDPR requirements. Data is processed and stored in secure, monitored AWS environments within the UK. Every Flight customer receives a comprehensive DPIA (Data Protection Impact Assessment) as standard, and user access is controlled through granular permission settings and encrypted data transmission.
How does Flight protect against data breaches?
Flight protects against data breaches through:
- AWS cloud hosting — the most secure commercial infrastructure available
- Role-based access controls — users only see what they need to
- Encrypted data transmission — data is protected in transit and at rest
- DPIA (Data Protection Impact Assessment) completed for every customer
- Regular security maintenance and monitoring built in from day one
DEVELOPMENT & PROCESS
What is Blue Wren’s bespoke software development process?
Blue Wren follows a structured 4-step bespoke software development process:
- Map — we map your workflows and produce a Flight specification
- Configure — we build your system and give you access to a working test version
- Launch — once approved, we migrate your data and go live
- Support — ongoing changes, training, and UK-based support at no additional cost
We use agile project management for smooth delivery.
How do you handle changes in scope?
Bespoke software evolves, and Flight is built for it. Unlike ground-up custom development where every scope change carries a high cost, Blue Wren can make rapid configuration changes at no additional cost. Requirements don’t need to be fully defined upfront. The system evolves through phased development as your needs become clearer.
Who owns the software and intellectual property?
Blue Wren owns the Flight platform source code and intellectual property (IP). Your data is entirely yours, accessible and downloadable at any time. All IP ownership and licensing terms are clearly defined in the contract before any work begins, ensuring full transparency from day one. There are no surprises.
PRICING & COMMERCIALS
Why does Flight charge a licence fee from the start of the project?
The Flight licence fee is charged from day one because the platform infrastructure (AWS hosting, security maintenance, updates, and development capability) is live from the moment your project begins, not only after launch. Your system is built on a maintained, secure platform throughout the development process, not assembled at the end.
What is included in the monthly licence fee?
The Flight monthly licence fee typically includes:
- AWS hosting on dedicated infrastructure
- Security updates and platform maintenance
- All ongoing configuration changes — new workflows, fields, reports, and automations
- UK-based support via a structured ticket system
- User training guides on request
The only additional costs are major integrations with new third-party systems or significant scope changes (always agreed transparently upfront).
Are there additional costs?
Additional costs may apply for:
- Major new third-party integrations (e.g. connecting to a new ERP or external platform)
- Significant scope changes — large structural re-works outside the original specification
Everything else (ongoing configuration updates, new workflows, additional reporting, and support) is included in the monthly licence fee. All additional costs are agreed transparently before any work begins.
SUPPORT & FUTURE GROWTH
What happens after the software goes live?
After launch, Flight continues to evolve with your business at no extra cost. Blue Wren provides:
- Ongoing support via a structured UK-based ticket system
- Configuration changes — new workflows, features, and integrations added incrementally
- User training and documentation on request
- A structured roadmap of enhancements as your business grows
The core system never needs replacing but grows alongside you.
Can Flight scale as our business grows?
Yes. Flight is designed to scale as your business develops. New workflows, features, and integrations can be added at any time without replacing the core system and are included in the monthly fee. AWS infrastructure means your Flight installation can scale instantly as user numbers or data volumes grow, at no additional cost.
What happens if we decide to leave?
If you decide to leave, Blue Wren requires 3 months’ notice. Your data is accessible and downloadable at any time as it always belongs to you. Exit terms, data access, and contractual conditions are clearly defined upfront, so there are no surprises. You are never locked out of your own data.
FUNCTIONALITY
Can we access the system offline?
No. Flight is cloud-based software and requires an internet connection to access. This is standard for all cloud software platforms and enables real-time data access, automatic updates, and secure AWS hosting — benefits that are not possible with locally installed software.
Do you have permission levels to restrict access to certain users?
Yes. Flight includes granular user permission controls, allowing you to restrict access to specific areas of the system on a per-user or per-role basis. Blue Wren can also configure dedicated customer portals and supplier portals within the same system, presenting entirely different information to each user type.
PROJECT MANAGEMENT
What is the estimated timeline for developing the custom software?
Flight configurations can be ready in as little as a few weeks. Typical timelines:
- Working test version: delivered within 2–4 weeks
- Launch-ready system: 2–3 development iterations
- What normally takes months of development takes days with Flight
- Instant configuration changes can be made at any stage (before and after launch)
As a customer, what do you require from us to make the project a success?
To make your Flight project a success, Blue Wren needs:
- Early engagement — your team involved from the outset to test and shape the system
- Regular feedback on the functionality and user experience at each iteration
- A committed project lead on your side — no software developer needed, just a decision-maker
- Openness to iteration — requirements don’t need to be finalised before you start
COST & BUDGET
Why do you charge the licence fee from the beginning of the project?
The Flight licence fee is charged from day one because the infrastructure is live from day one. Each Flight installation has its own dedicated AWS database and server environment (for both a test and live version) which is procured and commissioned at the start of the project, not at go-live.
INTELLECTUAL PROPERTY
Who will own the source code and intellectual property rights to the software?
Blue Wren owns the Flight platform source code and intellectual property (IP). Your data is entirely yours, so you can access and download it at any time. This is clearly defined in the contract before any work begins. You own everything you put in; we own the platform it runs on.
SUPPORT & MAINTENANCE
What level of support and maintenance do you offer after the software is deployed?
After deployment, Flight is covered by a comprehensive service level agreement (SLA) including:
- Hosting on dedicated AWS infrastructure
- Maintenance and security updates
- UK-based support via a structured ticket system for issues and feature requests
- User training and guides on request
- Ongoing configuration changes included in the monthly fee
SCALABILITY
How easily can the software be scaled or expanded as our business grows?
Flight is designed to scale and expand as your business develops:
- Rapid configuration changes can be made at any time — adding new features, workflows, or users
- Monthly fee covers all configuration changes — no additional development cost
- AWS infrastructure means the system scales instantly as demand grows
- New integrations, modules, and user groups can be added without replacing the core system
DATA PRIVACY & COMPLIANCE
Can we transfer our existing data into our version of Flight?
Yes. Blue Wren supports full data migration into Flight. Your existing records, operational history, and data can be transferred into the new system so you do not need to start from scratch. The migration is scoped and managed by the Blue Wren team as part of the implementation process.
Where is the data stored?
Flight data is stored on AWS, with servers located in London and Ireland. Every Flight installation runs in its own dedicated database and server environment, so your data is never shared with other clients. This supports your UK GDPR compliance obligations.
EXIT STRATEGY
What happens if we decide to terminate the project or partnership?
If you decide to end the relationship, Blue Wren requires 3 months’ notice. Your data is accessible and downloadable at any time. It belongs to you throughout the relationship and after it ends. Exit terms and data access are clearly defined in the contract before work begins.
PERFORMANCE & SLAs
Can you define performance metrics or SLAs for the software’s availability?
Yes. Every Flight system is covered by a comprehensive service level agreement (SLA) that covers performance, availability, hosting on AWS, maintenance, and support. SLA terms are agreed before the project begins and are clearly documented in the contract, giving you full transparency on expected performance and response times.
